Privacy Policy

This policy is for users of the Get Set 4 P.E. online portal system (www.getset4pe.co.uk), which is owned and operated by Get Set 4 P.E.

‘We’ means Get Set 4 P.E.

Get Set 4 P.E. provides schools and/or nurseries with an online portal for lesson planning, curriculum mapping, and assessments.

 

Information

We store the following information for each school or nursery:

  • Name and address.
  • Name, email address and telephone number of the person at the school or nursery who registers the school/nursery.
  • User email addresses

The school or nursery may then choose to store some or all of the following data on our service:

  • The names of their classes
  • The names of their children
  • Curriculum map
  • Assessment information:
    • assessments of children’s performance
    • notes, photographs and videos of their children

The school or nursery has the option to choose which data they store, and are able to delete it. Only users with login details will be able to access the data.

The only time, we will access the data stored by the school or nursery is when we are instructed to do so by the school or nursery, in order to maintain the service or to fix faults. This is via our sub processor and web developer Avamae. We will request written consent from the school to do this.

We collect the following information from visitors to our sites:

  • IP addresses
  • Information about their web browser and computer
  • What pages people look at but not the content of those pages
  • The make and model of the device
  • The version of the operating system
  • Details of any crashes that occur on the site

This information is used to monitor security of our service, and to help us to improve our service.

The information about the computers that visit our site is collected by Google Analytics.

The information about the make and models phones and tablets and any crash information is collected by Sentry IO. No information that is stored by the school or nursery on our system is sent to Sentry IO. You can read the Sentry IO privacy policy here: https://sentry.io/privacy/

We collect the following information about people who contact us by email:

  • The person's email address and the contents of the email.

The Payment Service Provider (PSP) we currently use is Stripe who will collect the appropriate card and address verification details. We do not hold any of that information.

 

Data

The school or nursery own the data they place in our service. We are only the ‘Data Processor.’

We do not share any data.

In line with the GDPR, schools or nurseries must have written consent from parents to be able to upload their pupil's data for storage.

Schools are able to download or print some or all of the data.

The only time, we will access the data via our sub processor, Avamae, is when we are instructed to do so by the school or nursery, in order to maintain the service or to fix faults.

Data is entered by the staff at the nursery or school directly into our website.  We store the data on the Get Set 4 PE database which is hosted by Hosting UK. Hosting UK hold the Get Set 4 PE database in their St Asaph data centre which is in North Wales.

The school or nursery can correct or delete the data they store about their children.

The school or nursery can correct the information we store about them through their account e.g. school email addresses.

We will store your school information and data for 6 months after your subscription has ended. At which time, your school information and data will be deleted. However, we will retain your school email addresses for sole purposes of future Get Set 4 PE services. Should you not wish for us to retain this after the end of your subscription, please use the contact form to inform us.

 

Data protection

The school or nursery has responsibility for complying with General Data Protection Regulations (GDPR).

When subscribing to Get Set 4 P.E., schools or nurseries agree to our terms and conditions and privacy policy.

It is imperative that the school or nursery:

  • Consider what information is appropriate to share with whom, given their situation and that of the children under their care.
  • Do not share usernames or passwords.
  • Ensure the school account holder removes any user who has left the school, thus preventing them access to your school's data. 
  • Take care not to install software on computers that may compromise security.
  • Take care not to access material from inappropriate places where it can’t be kept appropriately confidential.
  • Gain written consent from parents to upload pupil data to the website.
